This policy explains how Flor-IT Sàrl processes personal data for get-edice.com and EDICE-PMS at edice-pms.com.
Who is responsible?
Flor-IT Sàrl, Route du Molard 17, 1182 Gilly, Switzerland, is responsible for the website, enquiries and customer administration. For guest data managed by an accommodation in EDICE-PMS, that accommodation determines the purpose of processing and EDICE-PMS processes data on its behalf. Please first address reservation-related requests to the accommodation.
Data and purposes
We process contact and business information supplied in demo, trial and subscription requests, including names, email addresses, telephone numbers and billing details. We use it to respond, provide and support the service, process payments and maintain records. Technical information, including session data and language preferences, supports operation and security. Depending on the purpose, processing is based on a contract, consent, a legal obligation or legitimate interests in support and security.
Your own Google and Gmail account
An authorised tenant administrator chooses whether to connect Google. EDICE-PMS uses the Google email address and basic identity to identify the connected account. With gmail.send permission, it sends messages such as booking confirmations, invoices and invitations on that account's behalf. The connection does not read the Gmail inbox or change Gmail settings. Each tenant uses its own connected account; Gmail sending stops if the connection is missing or invalid.
Google data and sharing
Google data is used only for the described connection and communication. We do not sell this data, use it for advertising or use it to train general-purpose AI models. Data is shared only as necessary to provide the requested service, including with Google for sending and with the chosen recipients. EDICE-PMS use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including Limited Use requirements.
Service providers and security
We use providers for hosting and storage (Base44), payments (Stripe) and the email service chosen by the tenant. They receive data needed for their task. Processing may take place outside your country; appropriate international-transfer safeguards apply where required. OAuth tokens are encrypted on the server and stored per tenant. Management of connections is subject to tenant-role access checks.
Retention and disconnecting
We keep personal data for as long as needed for the service, its collection purpose and applicable legal retention obligations. Disconnecting Gmail in PMS settings clears the stored tokens and stops sending through that account. You may also revoke permission in your Google account. Disconnecting does not delete previously sent messages, reservations or invoices; contact us to request deletion of those records.
Your rights and contact
You may request access, correction or deletion, and restriction, portability or objection where applicable. You may withdraw consent without affecting the lawfulness of earlier processing. Send requests to the email address below. You may also complain to the competent supervisory authority, including the Swiss FDPIC or your competent EU authority.
Changes
We update this policy when our processing changes. The date above identifies the latest revision.
